How to Use Microsoft Word 

 


 

1. Opening Microsoft Word

  1. Click the Start menu on your computer

  2. Type Microsoft Word in the search bar

  3. Click the Word app to open it

  4. Select Blank Document

 


 

 

2. Understanding the Screen

When Word opens, you will see:

  • Ribbon (top toolbar with tabs like Home, Insert, Layout)

  • Document area (white page where you type)

  • Cursor (blinking line showing where text will appear)

 


 

3. Typing Text

  1. Click anywhere on the blank page

  2. Start typing using your keyboard

  3. Press Enter to move to the next line

 


 

4. Formatting Text

To change how your text looks:

Make text bold, italic, or underlined:

  1. Highlight the text

  2. Go to the Home tab

  3. Click:

    • B for bold

    • I for italic

    • U for underline

Change font and size:

  1. Highlight text

  2. Choose a font (like Arial or Calibri)

  3. Select a font size (like 12 or 14)

 


 

5. Aligning Text

  1. Highlight your text

  2. In the Home tab, choose:

    • Left align

    • Center

    • Right align

 


 

6. Saving Your Document

  1. Click File

  2. Click Save As

  3. Choose a location (Desktop, Documents, etc.)

  4. Type a file name

  5. Click Save

 


 

7. Opening an Existing Document

  1. Click File

  2. Click Open

  3. Select your file

  4. Click Open

 


 

8. Inserting Items

Insert a picture:

  1. Click the Insert tab

  2. Click Pictures

  3. Choose an image from your computer

  4. Click Insert

Insert a table:

  1. Go to Insert → Table

  2. Choose the number of rows and columns

 


 

9. Using Copy, Cut, and Paste

  • Copy (Ctrl + C): makes a duplicate

  • Cut (Ctrl + X): removes text

  • Paste (Ctrl + V): places text

Steps:

  1. Highlight text

  2. Right-click and choose an option or use keyboard shortcuts

 


 

10. Checking Spelling and Grammar

  1. Go to the Review tab

  2. Click Spelling & Grammar

  3. Follow suggestions to fix mistakes

 


 

11. Printing Your Document

  1. Click File → Print

  2. Choose your printer

  3. Click Print

 


 

12. Closing Word

  1. Click the X in the top-right corner

  2. Save your work if prompted
